Hours and location: Full time (37.5 hours per week). This role will be office based, from our Bournemouth office at Slades Park Pavilion with occasional travel to Redlands, Weymouth. Flexible working hours are supported.

About the role
This role is essential in ensuring smooth day-to-day operations, enabling the senior management team to focus on strategic initiatives, partnerships, and the Active Dorset CIC mission. The ideal candidate will be proactive, highly organized, and possess a strong sense of discretion and professionalism, with a passion for making a positive impact through charity work.
This role will help to lead the business support and compliance operations for both Active Dorset CIC and our sister charity, Active Dorset CIO.
The Business Support and Compliance Officer will be responsible for the management of the following operations; governance compliance, HR and people services, general administration and finance procedures
The role will involve working alongside colleagues across the team, coordinating meetings, note taking or supporting with projects.
You will support the organisation to adhere to the good governance standards, both charity governance but also the DCMS governance code.
The role will include regular communication with colleagues and external partners via email, telephone and in person.
Key responsibilities
Governance
- Contribute to the ongoing development of our equality and diversity action plan, demonstrating a commitment to continuous improvement.
- To work alongside CEO and Deputy CEO, managing compliance to the DCMS governance code and other statutory compliance requirements. Liaising with responsible officers to ensure good governance of the organisation and adherence to the code.
- Development of monitoring procedures and dashboards to enable effective reporting to the board and funders as required.
- To complete cyber security processes and review certification on an annual basis.
- To monitor Health and Safety policy and practice ensuring compliance, liaising with responsible colleagues and updating the senior management team as required.
- To support the Deputy CEO with IT management, liaising with our IT provider where necessary.
HR and People services
- To work alongside Deputy CEO, managing all HR processes to comply with both employment law and health and safety law, liaising with responsible officers where appropriate.
- Chairing line managers meetings, working with Deputy CEO to set agenda and providing support to line managers as required.
- Updating existing and creating new HR policies as required.
- Updating staff contracts, keeping HR records, handling sensitive HR information with confidentiality and discretion.
- Supporting with recruitment, onboarding and offboarding of all staff, including the annual performance review process.
- Implementing new recruitment procedures and reviewing processes to ensure inclusive practice.
General administration
- Represent Active Dorset and build relationships with partnership organisations, service providers and colleagues.
- Provide leadership for the Business Support and Compliance team including the line management of the Business Support Assistant.
- Ensure high quality administration and record keeping.
- Assist with support and training to colleagues to enable consistent and efficient working practices.
- Minute taking at board meetings and team meetings, support with meeting arrangements.
- To offer project management support where required and capacity allows.
Finance
- Support finance operations to include reconciliation, support bank payment approval process and bank account management, processing invoices, raising sales invoices, record keeping and supporting the annual audit.
- Liaising with the CEO and Deputy CEO to monitor income and expenditure for both the CIC and CIO. Supporting with grant management processes.
- To support the CEO and external auditors with the annual audit process to ensure transparency and accountability
- Monitor deadlines and requirements related to financial reporting, audits, and compliance reviews, helping to keep the CEO and Deputy CEO informed and prepared.
- Communicating with internal and external colleagues and partner organisations via email and telephone, answering general enquiries, including management of organisation email accounts.
NB: The duties and responsibilities of this post are not restrictive, and the post holder may be required on occasion to undertake other duties. This will not substantially change the nature of the post.
